TASS Extra Curricular is undergoing a makeover!

Earlier in the year, we asked our customers to help us prioritise the features they wanted to see in the Extra Curricular module. To assist with prioritising these enhancements, they were split across six areas of focus.

With the launch of a new module and a stack of new features on the way, continue reading for a sneak peek into the big things planned for Extra Curricular.

What we've done so far

Extra Curricular Hub Launch

The Extra Curricular Project has brought major updates to the Parent Orbit App. In September, we launched the brand new Extra Curricular Hub!

Providing a central location within the app to see all extra curricular updates and information, the new hub will make a huge difference to the Parent Experience, which was voted by schools as a top priority in our recent Extra Curricular Project survey.

Sessions & Matches

Whether it's violin lessons or tennis training, parents can quickly see what Extra Curricular activities all students (or individual students) have scheduled, at both a session and 'activity type' level.

Fixtures & Results

Parents can easily see how their student's team is tracking each season, with fixture graphs and recent results, as well as the ability to drill down into a detailed view of how they've performed against specific teams.

Contacts & Information

Important information about activities, including documents and links for things like procedures or photo libraries, can be included on activity pages along with a key contact for the parent to reach out to.

Targeted Notifications

Parents can be notified about cancellations via the existing target notification system from Staff Kiosk to Parent Obit, with the ability for parents to notify the school of Extra Curricular absences coming soon.

Extra Curricular 'Overview' Page

From the homepage, parents can click on the Extra Curricular Hub which lands them on an overview page including:

  • Extra Curricular Activity Type tiles: to drill down into different types of activities.

  • All upcoming sessions and fixtures for all Extra Curricular Activities and students (associated with that parent).

  • Absences and the ability to add an absence with a pre-defined list of upcoming sessions and fixtures for them to select from.

Extra Curricular 'Type' Hub

For activity types that your school chooses to include, parents will see:

  • Extra Curricular Activity tiles e.g. Tennis, Rugby.

  • Upcoming sessions and fixtures for all activities within the type e.g. Sport, and for all students.

  • Recent Results: fixture information and results from the last month.

By clicking into a specific activity, parents can access:

  • Overview of Activity

  • Activity User Defined fields: URLs and attachments of important information relating to the activity e.g. court hire link, previous semester awards

'Session Types' can also be configured, which define the type of sessions that can be scheduled for activities, such as training, practices and team meetings.

The Extra Curricular Hub is now open for all Activity Types, and administrators can now choose the Activity Types that appear.

Coming in a future release, parents will be able to submit absences for upcoming sessions and fixtures.

What's up next?

From the extensive list of enhancements our customers wanted to see, the first of these will begin development and start to land from Term 1 2024, which may include:

Automatically Generate Rolls from the Extra Curricular Scheduler
Users will soon have the ability to automatically generate rolls from the Extra Curricular Scheduler. These rolls will be parameter-driven and will give users the option to have the default as absent or present. Rolls will be automatically generated and ready for coaches ahead of scheduled fixtures and sessions.

Adding Students on the Fly into Custom Rolls
Users will also be able to add students on the fly into Custom Rolls. This allows easy changes for when students are training with a different team, or if a student gets on the wrong bus. Indicators will display for any students who have been added to a Custom Roll on the fly. Likewise, there will be visibility in the original roll so coaches are aware of where their students are.

Parent Absence Notifications for Extra Curricular Activities
Coming to TASS and Parent Orbit, Parents will be able to submit an absence for Extra Curricular Activities from a pre-populated list, based on the Custom Rolls. For example, when a parent is entering their student as Absent From School, they will also be able to make their child absent from any scheduled extra curricular activities.

Attendance

  • Mark students absent from EC activities if they have been marked absent for the day.
  • Attendance history in Parent Lounge & Parent Orbit.
  • Custom Roll: Attendance Status from school.
  • Add staff into Custom Rolls.
  • Override absence entered through attendance.
  • Split 'teams' into different groups for marking buses.

Parent & Student Experience

  • The ability to invite individual students for an activity.
  • Schedule dynamic recurring activities.
  • Bulk Tools for Rounds, Fixtures and Sessions in the Extra Curricular Scheduler.
  • The Ability to create fixtures with fewer steps.
  • Assign staff and volunteers or parents to activities.
  • Oversee who is in a team or extra curricular group when in the scheduler.

Reporting

  • The ability to report on attendance using date ranges.

Scheduling & Management

  • The ability for a parent or student to add a planned absence from a pre-populated list.
  • A detailed description in the Parent and Student Portals for extra curricular sign-up of activity.

Sign-Up

  • Additional filter options for student selection in sign-up.
  • Additional communications for parents.
  • A simplified process for parents to sign up.

Staff Management

  • Comments left on Custom Rolls will be visible within Student Notes.
